Terms of service

1. Who we are
PlotsFarm is a software platform that helps small-scale diversified growers plan their crops, track their harvests, sell their produce, and accept payments. The service is operated by the PlotsFarm team. Reach us at support@plots.farm.
2. The service
When you create an account, you get access to the planning tools, harvest + inventory tracking, CSA subscription management, online store, payment acceptance via Stripe, and the iOS companion app. Specific features available to you depend on your subscription tier (Free, Pro, Business).
We may add, change, or remove features as the product evolves. We'll do our best to give you reasonable notice for breaking changes that affect features you actively use, and we'll email the account owner before retiring anything load-bearing.
3. Your account
You're responsible for keeping your sign-in credentials safe and for everything that happens under your account. If you invite team members (managers, workers), you're responsible for what they do on your farm. Pick people you trust with your crop plans, customer lists, and payment data.
You must be at least 18 years old to create a PlotsFarm account, and you must provide accurate information when creating your account or your farm's public-facing pages. Workers under 18 may use the service under the supervision of an adult account owner. See our Privacy policy for details on how we handle their data.
4. Subscription billing (you pay us)
Paid plans are billed in advance via Stripe. Fees, billing cycles, and the included feature set are described on our pricing page. You can change tiers or cancel any time from /settings/billing; changes take effect at the next billing cycle. We don't pro-rate mid-cycle cancellations, but you keep access through the end of the period you've already paid for.
If a renewal payment fails, we'll retry per Stripe's standard schedule and email you at the account owner address. If we can't collect for fourteen days, we'll downgrade your farm to the Free tier rather than lock you out. Your data stays put, you just lose access to paid features until billing resumes.
Subscription invoices are emailed automatically and are also available from your billing settings. You're responsible for any taxes your jurisdiction levies on your subscription; we don't collect sales tax on SaaS subscriptions in v1, but that may change as we register in additional states. We'll email you in advance.
5. Payment processing for your buyers (your buyers pay you)
When you accept payments from your CSA members, market shoppers, or online-store buyers, those payments are processed by Stripe under their Connected Account Agreement. You connect your own Stripe account (Stripe Express) during onboarding at /settings/payments; funds settle directly to your Stripe balance and pay out to the bank account you provide. PlotsFarm never holds your buyers' funds.
You are the merchant of record for every transaction your buyers make through PlotsFarm. The charge appears on your buyer's card statement under your farm's name; sales-tax collection (where applicable), product-fulfillment liability, food- safety obligations, and 1099-K reporting are yours. Stripe issues your 1099-K via the Express dashboard at year-end. PlotsFarm is the technology platform; we are not a party to the underlying sale.
By connecting a Stripe account through PlotsFarm, you also agree to Stripe's Services Agreement and the Connected Account Agreement linked above. We pass through the data Stripe needs to verify your account (KYB / KYC) but we don't see or store your full Social Security Number, EIN, or bank account number. That information goes directly from your browser to Stripe.
6. Application fees on buyer transactions
PlotsFarm charges an application fee on each successful buyer charge. The fee is calculated as a percentage of the transaction amount and depends on your subscription tier:

This is on top of Stripe's standard processing fees, which Stripe deducts directly and which depend on the payment method (card, ACH, etc.). Stripe's rates are published at stripe.com/pricing.
We may change our application fee schedule with at least thirty (30) days' advance email notice to the account owner. The new rate applies only to transactions processed after the effective date. You can review your effective fee at any time from /settings/payments.
7. CSA subscriptions and recurring buyer billing
If you offer CSA shares through PlotsFarm, you're entering an ongoing relationship with your members. Some specifics:
Buyer-side cancellation. Members can pause, skip a week, or cancel from their member portal at any time. Cancellation stops future charges; charges already processed for shares not yet delivered are not automatically refunded. You and the member settle that the way you would offline (replacement weeks, partial refund, or store credit). We give you the tooling to issue refunds via Stripe; we don't intermediate the conversation.
Grower obligations. When a member is charged for a share, you commit to fulfilling that share: growing or sourcing the listed contents, making them available at the advertised pickup time and place, and communicating proactively if something goes wrong (a hailstorm, a shortage, a closed pickup site). You agree to advertise share contents accurately, honor your stated cancellation and refund policy, and refund members for missed pickups that are your fault (a closed pickup site, an undelivered box).
If your Stripe account is restricted or disabled mid-season. Stripe can pause or close a connected account for compliance, fraud, or risk reasons. This is rare but it happens. If your account is restricted while you have active CSA subscribers, you'll be unable to process renewal charges until the restriction clears. We'll notify you and your active subscribers via email; subscribers' saved payment methods are not charged while you're restricted, and you remain responsible for any shares already paid for. If the restriction proves permanent, you must communicate a refund or fulfillment plan to your members directly; PlotsFarm doesn't have legal standing to refund your members on your behalf.
8. Refunds, disputes, and chargebacks
You issue refunds to your buyers from your Stripe Express dashboard or, where we've built in-app refund tooling, from your PlotsFarm cockpit. Refunds reduce your Stripe balance and pull back the proportional application fee we charged on the original transaction.
When a buyer disputes a charge with their card issuer (a chargeback), Stripe notifies you via the Express dashboard and we'll surface the dispute on your /payments/deposits page. You respond to the dispute by uploading evidence in the Stripe Express dashboard within Stripe's deadline (typically 7-21 days). PlotsFarm doesn't intermediate disputes; we surface them to you and let you respond directly. Chargebacks deduct from your Stripe balance, not ours.
PlotsFarm doesn't intervene in disputes between you and your buyers, but we may suspend transaction processing for accounts showing unusually high dispute or refund rates while we investigate.
9. Your data
Your farm data (crop plans, harvest logs, customer lists, sales records, photos, voice notes) is yours. We store it on your behalf so the platform can operate, and we don't sell it. You can export your data from /settings/account or delete your account at any time. See our Privacy policy for details on what we collect, how we use it, and our retention windows.
Cross-farm data aggregation (e.g. anonymized yield trends, training a planning model on combined grower datasets) is on by default and contributes only as anonymized, zone-level statistics. You can opt out of any data type at any time from your data-sharing settings, and opting out retroactively removes your past contributions. We will never publish or sell your individual farm's data, and we never single out any individual farm in an aggregate.
10. Acceptable use
You agree not to use PlotsFarm to:
- break the law, infringe anyone's rights, or process payments for goods or services prohibited by Stripe's policies;
- send spam, phishing attempts, or unsolicited bulk communications to your buyers or anyone else;
- reverse-engineer, scrape, or attempt to disrupt the service, including its rate limits and authentication;
- misrepresent your farm, your products, your certifications, or your ability to fulfill orders;
- use the platform to launder money, evade taxes, or facilitate fraud against your buyers;
- upload content you don't have the rights to (photos, descriptions, voice recordings of others without consent).
We may suspend or terminate accounts that violate this section. We may also be required by Stripe, by law, or by a payment-network rule to terminate accounts in specific verticals (firearms, certain regulated agricultural products, etc.). Stripe's prohibited businesses list is the operative constraint and is published at stripe.com/legal/restricted-businesses.
11. Service availability and warranties
We work hard to keep PlotsFarm running, but we don't promise uninterrupted service. We may schedule maintenance or experience unplanned downtime; we'll communicate proactively when we can. Software is provided as is, without warranty of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.
To the maximum extent permitted by law, our total liability for any claim related to the service is capped at the fees you paid us (subscription + application fees) in the twelve months preceding the claim. We are not liable for lost crops, lost sales, lost data (where you had a reasonable opportunity to export and didn't), or consequential / incidental damages.
12. IP infringement (DMCA)
If you believe content hosted on PlotsFarm (a public farm page, a blog post, a buyer-facing product description, etc.) infringes your copyright, send a DMCA-compliant notice to dmca@plots.farm including: identification of the work, the URL of the alleged infringement, your contact information, a good-faith statement that you're authorized to act, and a sworn statement under penalty of perjury that the information is accurate. We respond to valid notices by removing or disabling the content and notifying the account owner.
Counter-notices and repeat-infringer disputes follow the standard 17 U.S.C. § 512 process. Email the same address.
13. Account closure
You can close your account from /settings/account at any time. We'll keep your data for thirty (30) days after closure so you can re-activate or export it, then permanently delete it (subject to retention obligations described in the Privacy Policy; financial records are retained for seven years).
If you close your account with active CSA subscriptions: your subscriptions are automatically canceled, your buyers are notified by email, and pending future charges are not made. Charges already processed for upcoming shares are not automatically refunded by PlotsFarm. You remain responsible for honoring (or refunding) any share weeks your members have already paid for. We strongly recommend resolving open CSA obligations before closing.
We may close accounts that violate these terms, that have been inactive for over eighteen (18) months on a free plan, or that we're legally or contractually required to close. We'll give you reasonable notice and a chance to export your data unless circumstances make that impractical (security incident, legal order).
14. Governing law and disputes
These terms are governed by the laws of the State of Georgia, without regard to its conflict-of-laws rules. Any dispute arising from these terms or your use of the service will be resolved in the state and federal courts located in Georgia, and you and we consent to personal jurisdiction there.
Before filing a lawsuit, we ask that you reach out to support@plots.farm and give us thirty (30) days to resolve the issue informally. Most things are fixable that way.
15. Changes to these terms
As we add features and as the platform matures, these terms will change. We'll email you a meaningful summary of any change that materially affects your rights, and post the revised version here with an updated effective date. Continued use after the effective date means you accept the changes. If you don't agree, close your account before the new version takes effect.
